Cleaning quote example: one-off and contract (2026)

A cleaning quote is either a one-off job (deep clean, end-of-tenancy) with a fixed project price, or a contract with a fixed monthly fee built from frequency × hours × hourly rate. Both variants are fully worked out below, including the contract clauses that protect your margin.

What should a cleaning quote include?

A complete cleaning quote contains: business and client details, the site and its area, the work programme (what, how often), hours and rate or monthly fee, what's excluded, VAT, and for contracts: duration, notice period and indexation.

  • Site and area per room type (office, sanitary, pantry)
  • Work programme: which tasks, at which frequency
  • Price build-up: hours per visit and monthly fee, or project price for one-off work
  • What's nót included: exterior glass, floor maintenance, incidents
  • Supplies and equipment: included or separate
  • Contract terms: duration, notice period (1-3 months), annual indexation
  • The applicable VAT rate
  • Start date and a trial period (e.g. 3 months) - lowers the barrier to sign

Worked example: one-off deep clean

One-off work is quoted as a project price with a clear scope: which rooms, which result, and what additional work costs if the site turns out dirtier than agreed.

Worked example: contract with fixed monthly fee

For a contract you show the build-up (visits, hours, rate) and land on one fixed monthly amount. Transparency about the hours makes the price conversation easier - and later indexation explainable.

The clauses that protect your margin

  • Indexation: 'prices are adjusted annually on January 1st in line with collective wage development'
  • Additional work: always at an hourly rate and after written approval
  • Access and facilities: key management, alarm codes, storage for supplies
  • Trial period: 3 months with mutual evaluation - sells more easily than forcing 12 months up front
  • Liability: reference your insurance and limit consequential damages

Frequently asked questions about cleaning quotes

What VAT rate applies to cleaning work?

In the Netherlands: 21% for commercial cleaning (offices, business premises). Only cleaning inside private homes falls under the reduced 9% rate.

What notice period is common in cleaning contracts?

1 to 3 months. Shorter makes the contract more attractive to the client; a 3-month trial period with evaluation often works better than enforcing a long duration.

Should supplies be included or separate?

Included is the norm for contracts (3–6% of wage costs); it prevents hassle over who buys what. Client consumables (paper, soap) are charged separately, on advance or usage.

Do I always need a site survey first?

For contracts, yes - but you can flip the order: let the prospect enter m² and wishes online with a price indication, and use the survey to confirm instead of to start. That saves a whole quoting round.
